Materials: adding a file (and DVD, Bluray) to a Material entry

Once you have created a Material entry for a file (or DVD, Bluray), its status will always reflect whether or not a file is available:

  • Not available: No file has been uploaded yet, or a previously uploaded file was deleted.
  • Processing: A file was uploaded and is now being added to the digital archive.
  • Available: A file is available and can be processed and accessed.

You can upload a file to any entry with status Not available. Use one of the following methods to do so:

  • Direct upload: Use the Upload link on the Material entry to open our upload applet. In the popup window, select the file and click Start to upload. Note that large files may take several hours to upload. If your upload should be interrupted due to a connection failure, in most cases you can use the Resume function to continue the upload.You need to have an up-to-date version of Java installed and enabled in your browser. Furthermore, popups need to be permitted.

  • Upload via Aspera: Upon request, we offer upload via Aspera. After creating the necessary Material entry, you can upload the file onto our Aspera server and we will be able to assign it to the correct Material entry from there. We require a mapping for this, including filename and associated Format ID (this is the second number in the Material ID displayed under the format’s File details – for example, for Material ID “ABC_123456_C_789012_XX”, the Format ID would be “789012”).Please contact us for more information.
  • Upload via portable hard disk drive: Upon request, we can ingest your files from a physical HDD. Simply send it to our office address, which can be found on our homepage. We can then proceed to upload the content to the correct material entries. We require a mapping for this, including filename and associated Format ID (this is the second number in the Material ID displayed under the format’s File details – for example, for Material ID “ABC_123456_C_789012_XX”, the Format ID would be “789012”).Please contact us for more information.
If you’d like to make use of our DVD outgest services later, please upload any DVD files as uncompressed DVD ISO images to Material entries of Format type DVD. Bluray can be stored, but cannot currently be outgested to disc.

In all cases, be aware that even after the upload process itself has been completed, it may take some time until your Material entry reaches the Available status, as there are some transfer times involved (plus a quality check, if applicable).
